Challenge
A well-regarded university faced the imperative to adapt to the evolving Higher Education landscape, marked by competitive challenges in student recruitment and funding. An initial review of the university's support functions-HR, Payroll, Finance, and Student Services-highlighted the need for significant transformation. The 'Unified Programme' was thus initiated to overhaul these core processes and systems, aiming for increased efficiency, future readiness, and an
enhanced experience for all university members.professional and academic world.
Solution
Caja's involvement was driven by several
objectives:
Business Requirements Analysis:
Detailed HR & Payroll requirements were gathered to inform the
transformation process.
Process Re-engineering Leadership:
Led the re- engineering of HR & Payroll processes, integrating
best practices and sector-specific insights.
Change Management:
Directed the change agenda, identifying key stakeholder groups and facilitating the transition to new operational
models.
Readiness Assessment:
Evaluated the impact of changes and prepared the organisation for the
adoption of new systems and processes.
Key activities included facilitating workshops for new process design, standardising HR & Payroll roles, guiding ERP selection and implementation, and leading strategic planning for the
transformation program.
Outcome
The collaborative effort resulted in the redesign of over 120 HR & Payroll processes, integrated into the new ERP system to align with the university's strategic requirements. Additionally, Caja led the design and delivery of approximately 30 engagement events, fostering university-wide involvement in the transformation process and ensuring a smooth transition to the new
operational paradigm.
